Church Events Planning Checklist

Every church has events, but not all of them turn out great, unfortunately. So how can you have a simply great church event?  We’ve created a Church Event Planning Checklist to ensure your next church event is a success!

  • Schedule your event far enough out to ensure success.
    • Be sure the facilities are available.
    • Check on the schedules of volunteers and vendors involved.
    • Ensure you have time to promote your event.
  • Determine your audience.
    • Stay focused on your audience when determining:
  • Create a description of the church event. 
    • Write down everything that will happen and create a schedule.
    • Outline all the reasons someone should attend your event.
    • Be sure to reference this once you start promoting your event.
  • Create a list of your needs:
    • Food and drinks
    • Games
    • AV equipment
    • Table and chairs
    • Trash requirements
    • Church volunteer positions
  • Assign volunteer positions:
    • Greeters
    • Setup and teardown teams
    • Security
    • Food prep
    • AV staff
    • Booth, games, and activity workers
    • Emcee, DJ, etc.
  • Collect contact information from attendees.
    • Set up a check-in system.
    • Include a sign-in sheet at the entrance.
    • Collect email addresses for notification of future events.
  • Promote the event using:
    • Announcements
    • Bulletins
    • Social media
    • Signage
    • Website 𑁋Create a specific web page you can link to, and add a contact link for questions or volunteer recruitment.
  • Provide your attendee’s ways to get involved.
    • Announce details of the next event.
    • Promote your worship service.
  • Follow up with attendees.
    • Post pictures on social media and your web page. 
      • Be sure to request permission to post photos (especially for children).
    • Reach out to everyone you collected contact information from promptly.
